Office Manager/Administrative Assistant

We are currently seeking a dynamic Officer Manager/Administrative Assistant to join the team in San Diego.

The Office Manager/Administrative Assistant will be key to keeping the office running smoothly and will support the internal team members through strong communication skills, and the ability to multi-task and prioritize.

What you are great at doing:

  • Organizing and coordinating office operations and procedures, ensuring organizational effectiveness,  efficiency and safety for a smooth functioning and growing office
  • Working closely with the Corporate Office in Vancouver, BC to encourage team building and effective lines of communication between departments
  • Assisting with managing facilities other vendors
  • Ordering and maintaining office supplies and equipment
  • Coordinating and scheduling meetings and special events for business and social purposes
  • Assisting with travel and conference bookings
  • Supporting the efficient operation of the office by answering phone calls, handling mail, arranging couriers and managing files
  • Maintaining and controlling the alarm systems and key card access systems
  • Ordering business cards and maintain their proofs in Sales Force
  • Manage office credit card, purchase, and expense reports
  • Being the on-site liaison for NetSuite, Expensify, Concur, and other systems in order to effectively support staff
  • Assisting with building safety program and initiatives
  • Assisting with accounts payable by routing invoices 
  • Administrative support for the local executive team
  • Ad hoc office support as required

What you will bring to the team:

  • 3+ years experience as an office administrator, ideally in a fast-paced and growing environment required
  • College or University degree preferred
  • Excellent organization skills and attention to detail
  • Proven experience handling confidential and sensitive information with the ability to exercise discretion and show good judgment; honesty, integrity, and trust building behaviors in all dealings 
  • Outstanding customer service and follow up
  • Excellent communication skills, both written and verbal
  • Strong computer literacy and proficiency with MS Office (Word, Excel, Outlook)
  • Experience working with various levels of management and laboratory operations
